How Bedford Fencing plans to use and protect enquiry information.

Who handles your information?

Richard Summerfield operates BedfordFencing.co.uk, an independent fencing information and referral service. For privacy questions, corrections or withdrawal of an enquiry, email info@bedfordfencing.co.uk and include your enquiry reference if you have one.

Your enquiry and the named recipient

We store the postcode, work type, project description, timescale and optional fence style you provide, together with your name and email. A phone number and up to three project photos are optional. The form shows the intended recipient before you supply contact details and asks for your agreement before sharing.

The current launch recipient is Richard’s Fencing, with enquiries initially reviewed by Richard Summerfield. Your contact and project details, including any photos you choose to add, are emailed to that named recipient so they can respond to your fencing request. Their routing email is not displayed on the public form. We will explain any proposed change of business and obtain your agreement before referring your enquiry elsewhere.

Bedford Fencing does not install fencing. Submitting a request does not book a visit, accept a price or create an installation contract. Any survey, quotation or work must be agreed with the contractor.

Why we use the information

We use your agreement to record and refer the enquiry and send the service messages you request. You can withdraw that agreement by emailing us. We can stop further referral or follow-up under our control; withdrawal does not undo messages already sent or processing that was lawful before withdrawal. You can use all public guides and tools without submitting an enquiry.

We also use limited security records to protect the website against abuse and restrict access to private enquiries. This serves our legitimate interest in running a secure service. Where necessary, we may retain a limited record to resolve a complaint or establish or defend legal claims, or meet an applicable legal obligation. Optional Analytics uses your separate cookie choice; rejecting Analytics does not stop you submitting an enquiry.

Emails and optional photos

Your enquiry is saved before an email is attempted. The customer acknowledgement confirms receipt and names the intended partner. We confirm forwarding only after the contractor message has been accepted by our outgoing mail service. Mail-server acceptance does not guarantee inbox delivery or a contractor response.

Photos are kept in private enquiry records and attached to the contractor email. Do not upload people, identification documents, neighbouring interiors or sensitive information. Only supply images you have permission to share. We do not subscribe you to marketing.

Retention

Ordinary enquiry records and uploaded photos are removed from this website’s active records six months after the enquiry is marked closed. The owner records closure when an enquiry is marked won or lost. A specific complaint, dispute or legal requirement may justify keeping a limited record longer; a retention hold must be recorded and reviewed.

Email copies and hosting backups are separate from the active website record. Copies in our mailboxes require separate housekeeping; backups are subject to the hosting provider’s backup cycle. Restoring a backup must not reinstate information that should have been deleted. A contractor may need separate quotation or contract records and must explain its own retention where applicable. Contact us if you need information removed from our records or want to understand which copies remain.

Hosting and access

The website’s enquiry storage and outgoing mail run on our Unlimited Web Hosting cPanel account. Access to the dashboard requires the owner’s private sign-in key. Hosting and mail administrators may process information as needed to provide and secure those services. Email also passes through the recipient’s email provider; email and backup processing may involve locations outside the UK. We do not claim that every email or backup copy is held only in the UK.

Cookies and measurement

Google Analytics loads only after you accept optional analytics. Names, contact fields, project text and photos are excluded from it. Our cookie notice describes Google processing, the two-month user/event retention setting and how to withdraw your choice. Search Console provides search-performance reports and does not add a visitor tracking tag.

Your rights

Depending on the purpose and lawful basis, you may request access, correction, erasure, restriction or portability of your information, object to legitimate-interest processing, or withdraw consent. Email info@bedfordfencing.co.uk. We may need to check your identity before releasing or changing personal records. You can also complain to the Information Commissioner’s Office.

Area checks and updates

The postcode check uses districts around an approximate 20-mile radius from Bedford. It does not calculate your property’s exact distance or guarantee contractor coverage. We do not use it to make decisions with legal or similarly significant effects.
